This role supports our healthcare sampling program by helping clinicians and pharmacies evaluate our products and share structured feedback.

Position Overview

  • Role title: Healthcare Sampling Coordinator

  • Engagement Type: Independent Contractor (1099)

  • Location: Remote (U.S.)

  • Time commitment: ~20 hours per week

  • Compensation: $25/hour invoiced

  • Primary point of contact: Sales Director

Ideal Candidate

  • Must be able to successfully reach clinics during standard business hours (typically Monday–Friday, 9:00am–5:00pm local USA time)

  • Based in the US and willing to visit clinicians in person

  • Have experience with medical office outreach, pharmacy outreach, or field sampling (or have done high-volume relationship-based outreach in another setting)

  • Are comfortable making a high volume of calls and emails, and can handle follow-up without dropping details

  • Can build rapport quickly with gatekeepers (front desk, office managers) and communicate professionally with clinicians and pharmacy teams

  • Stay organized and reliably log outreach outcomes the same day

  • Can learn basic compliance constraints quickly and follow process (privacy, verification, and incentive guardrails)

  • Are proactive about improving simple systems (templates, scripts, tracking fields) as you learn what works

What You’ll Do

  • Outreach and prospecting: Build a pipeline of qualified practices and pharmacies

    • Identify target practices (GI, Internal Medicine, Family Medicine, OB/GYN, Pediatrics as relevant) and independent/community pharmacies.

    • Conduct outreach by phone and email to office managers, clinic coordinators, clinicians, and pharmacy owners/managers.

    • Qualify partners based on fit and likelihood to recommend OTC hemorrhoid relief products.

    • Log all activity in our internal tracking system (Notion database).

    • Minimum weekly deliverable: 30 verified contacts.

  • Sampling coordination: Ensure samples are requested, shipped, and received

    • Confirm shipping details and primary points of contact.

    • Coordinate with operations to fulfill requests.

    • Track shipments and delivery confirmations.

    • Follow required verification and compliance steps as needed (including NPI verification when applicable).

  • Follow-up and relationship development: Turn sampling into ongoing partners and feedback loops

    • Run follow-ups two weeks after delivery to confirm receipt and collect initial feedback.

    • Conduct discovery calls to understand outcomes, objections, and recommendation behavior.

    • Collect testimonials and case examples when appropriate.

    • Maintain a simple cadence for high-value relationships.

  • Program building (light systems work): Improve how we scale outreach and follow-up

    • Contribute to scripts and templates for email, fax, and phone follow-ups.

    • Recommend improvements to the tracking system and follow-up workflows.

  • Incentive program support (research + setup): Help design a compliant partner incentive approach

    • Research basic legal/compliance considerations and allowable incentive types.

    • Evaluate vendors and fulfillment options.

    • Help define criteria, tracking, and communications for incentive delivery.

Success Metrics

  • Expected pace (first 30–60 days)

    • Typically 30–40 new verified contacts added to database per week

    • Typically 8–12 sample kits requested and shipped per week

    • Follow-ups completed for all shipments that reach the 2-week mark

    • Outreach and outcomes logged within 24 hours

    • 3+ substantive feedback conversations completed per week

  • Quarterly outcomes (Q1 2026)

    • 50 total clinics/pharmacies sampled

    • 2,500+ prospects built in the database

    • 10+ clinician/pharmacist testimonials

    • 15+ detailed product feedback submissions

    • Follow-up workflows operational by end of Month 1

    • Incentive program research and vendor setup complete by end of Month 2
